The Project Assistant supports the Project Management and Project Controls teams by coordinating essential project documentation, contributing to the
preparation of project control reports, and maintaining a structured and up-to-date communication log. This role ensures smooth information flow
between internal and external stakeholders and contributes to the effective execution of project activities across all phases.
Key Responsibilities
Project Controls Support
• Collect, organize, and validate data needed for project control reporting, including progress updates, schedules, and cost-related inputs.
• Assist in preparing periodic project reports, dashboards, and summaries.
• Track project deadlines, deliverables, and action items to support consistent and timely reporting.
• Maintain accurate documentation, ensuring version control and structured archiving.
Communication and Variation Order Log Management
• Serve as the focal point for incoming and outgoing project communication.
• Maintain a clear, complete, and searchable communication and separate variation order log.
• Ensure all correspondence complies with project procedures and internal guidelines.
• Support the project team with timely retrieval and distribution of communication records.
Qualifications & Experience
Education
• Bachelor’s degree or equivalent preferred.
Experience
• Prior experience in administrative coordination, project support, document management, or similar roles.
• Experience in reporting support and communication tracking
Skills & Competencies
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills in English.
• Ability to manage multiple priorities in a fast-paced, dynamic project environment.
• High attention to detail and accuracy in documentation and reporting.
• Proactive and service-oriented approach with strong coordination abilities.
• Comfortable working in multicultural, multi-disciplinary teams.
• Proficiency in MS Office (Excel, Word, PowerPoint); familiarity with document management tools (and Power BI) is a plus.
